Role Description

The Receptionist serves as a welcoming and professional first point of contact for members, guests, vendors, and employees. This position plays an important role in creating an exceptional Club experience by providing warm, attentive, and personalized service in person and over the telephone.

The Receptionist is responsible for greeting and assisting individuals entering the Club, directing inquiries, managing incoming calls, providing accurate Club information, and supporting administrative needs. The ideal candidate demonstrates professionalism, discretion, attention to detail, and a genuine desire to assist others.

Key Responsibilities:

  • Warmly greet members, guests, vendors, candidates, and employees upon arrival and assist them with their needs.
  • Answer incoming telephone calls promptly and professionally and direct calls to the appropriate department or individual.
  • Provide accurate information regarding Club departments, locations, services, events, and general operations.
  • Assist members and guests with directions throughout the Club and help connect them with the appropriate team member.
  • Maintain a professional, welcoming, and organized reception area.
  • Recognize returning members and guests whenever possible and provide personalized service.
  • Receive and appropriately direct deliveries, correspondence, and other incoming materials.
  • Communicate effectively with Club departments to ensure member and guest requests are handled promptly.
  • Assist with administrative duties, including data entry, document preparation, filing, copying, scanning, and other clerical responsibilities.
  • Maintain appropriate confidentiality regarding member, employee, and Club information.
  • Respond calmly and professionally to member or guest concerns and seek assistance from the appropriate manager when necessary.
  • Maintain awareness of daily Club activities, special events, meetings, and other information necessary to effectively assist members and guests.
  • Follow Club policies, procedures, appearance standards, safety requirements, and service expectations.
  • Perform other duties and special projects as assigned.

The ideal candidate will have the following experience, skills, and knowledge:

  • High school diploma or equivalent required.
  • 1-2 years of experience in a front office role.
  • Previous receptionist, administrative, customer service, hospitality, hotel, private club, or similar experience preferred.
  • Excellent verbal and written communication skills.
  • Strong interpersonal and customer service skills.
  • Professional telephone etiquette.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities in a busy hospitality environment.
  • Comfortable using computers, email, telephone systems, and standard office software.
  • Ability to work effectively and professionally with individuals from diverse backgrounds and at all levels of the organization.
